Callers Hear the Virtual Assistant and Recording Notices

Your receptionist starts each call by saying it is a virtual assistant and that the call is recorded. Both notices stay in the greeting and cannot be switched off.

  1. Clear introduction

Your receptionist identifies itself as a virtual assistant at the start.

  2. Recording notice

Callers hear that their call is recorded before the intake conversation.

  3. Required greeting

You cannot turn off either notice when changing your business settings.

Full details

The greeting tells a homeowner, subcontractor, or supplier what to expect before they explain the job. Your receptionist then uses your business information to ask questions, take a message, or handle an appointment request.

Changing your service area, hours, or estimate policy does not remove the notices. Calls through the browser demo are also recorded and transcribed so you can see the result. Use a fictional kitchen estimate request in a browser test call to hear the introduction and review the intake.

Call Storage, Dashboard Access, and Retention Periods

We use hosting and storage providers to hold call data, and your dashboard gives you access to recordings, transcripts, and summaries. Recording retention follows the period your business chooses.

  1. Your dashboard

Review calls, transcripts, recordings, usage, and settings for your business account.

  2. Recording period

Choose 30 or 90 days before stored call recordings are deleted.

  3. Account closure

Transcripts and summaries are deleted within 30 days after your account closes.

Full details

Call data includes caller numbers, audio, recordings, transcripts, and summaries. Hosting and storage providers support the service, while carriers and AI providers process information needed for the call.

Your call alert arrives by email and app push notification with the summary, urgency tag, transcript, and recording. A daily digest also arrives by email. Your business decides what caller information to collect and why; we process that information on your behalf.

How AI Providers Process Your Call Data

AI model providers process voice and text to help your receptionist handle calls. Our AI model provider, OpenAI, does not use our API data to train its models by default.

  1. Voice and text

AI providers process call information as part of delivering the receptionist.

  2. Training default

Our AI model provider, OpenAI, does not train on our API data by default.

  3. Caller information

We do not sell personal information or use caller data for our marketing.

Full details

AI processing is part of taking an estimate request or turning a supplier's delivery message into a summary. Our service providers include AI model providers for voice and text, along with hosting, storage, telephone, payment, email, and analytics providers.

The training statement describes our AI model provider OpenAI's default treatment of our API data. Voice and text still pass through AI providers to produce the conversation and message records. Read the information handling policy for the categories of data we collect and the purposes they serve.

Your Retention, Deletion, and Access Choices

Your business chooses recording retention, and privacy requests go to privacy@contractoransweringai.com. Customers and callers can request access, correction, or deletion of personal information, with applicable rights considered for each request.

  1. Retention choice

Your business selects a recording period of 30 or 90 days.

  2. Privacy requests

Email privacy@contractoransweringai.com to ask for access, correction, deletion, or an opt-out.

  3. Caller requests

Callers can contact the business they called or send their request to us.

Full details

Recording retention and transcript retention follow different schedules. Recordings are deleted after your chosen 30 or 90 days. Transcripts and summaries stay while the account is open, then are deleted within 30 days after closure or on request.

Use your dashboard to review stored calls and your account settings. For a privacy request, identify the business involved and explain what you want to access, correct, or delete. If you are a caller, you can ask that business directly or email us. We process its caller information on its behalf.

Service Limits: No Healthcare Use or Certification Claims

We do not offer healthcare use or claim security certifications or audits. Your receptionist handles contractor business calls; it is not an emergency service, and its messages need your review.

  1. Contractor work

Use the receptionist for business calls about estimates, projects, subs, and suppliers.

  2. Healthcare excluded

The service does not permit healthcare use involving protected health information.

  3. Review messages

AI can make mistakes, so review summaries and keep a backup contact route.

Full details

Our security information describes our service, without certification or audit claims. Healthcare is outside its scope. Keep onboarding focused on your contractor services, the calls you accept, and the people who should receive urgent messages.

For gas smells, CO alarms, sparks or burning smells, or flooding near electricity, the safety script tells callers to get everyone out and call 911 or the utility from outside. For a fire, it says: Get everyone out first, then call 911 from outside. For a medical emergency or anyone in danger, it tells callers to hang up and call 911 right now. Then it alerts you. The receptionist does not replace emergency responders. Test your intake and urgent routing rules before forwarding business calls.
